Privacy Notice

If you are or have been a customer of The Library Pot, or have booked a table here, then we might hold some data about you. According to the definitions of the Information Commissioner, The Library Pot Ltd is a data controller, ie we determine the purposes and means of processing data. In order to comply with the General Data Protection Regulation (GDPR in force from 25 May 2018), we need to provide you with some information about how we use data.

When you make a reservation or enquiry with us, you will provide your name and other contact details. We use third party booking services, such as SimpleERB, Tableagent and/or DesignMyNight. We use this information to organise your visit to The Library Pot, for example to chase late arrivals.  We will also use this information to contribute to the Anti-Coronavirus Track & Trace team if asked.   If you have not booked we will ask you to send us an email so we have contact details for Track & Trace.

We collect your name and email address on completed loyalty cards. We keep loyalty cards for at least one year to be available for our Xmas Party and raffle. When you add your email address to our loyalty cards we use it to ask you if you want to join our irregular newsletter mailing list.

We and our booking services hold data about you so that (a) you can be recognised when you make a subsequent booking; (b) we know if you are a previous no-show, a late arrival or have specific requirements so we can have different conditions; (c) so we can devise offers and promotions to suit you; and/or (d) we can process payments.

We may use your email address to ask if you wish to subscribe to a newsletter. You will be given the option to opt in or opt out of receiving the newsletter.

Once you have declined to subscribe to a newsletter we will keep your email address for at least one year in order to make sure we do not include you in any mailing lists during that period. We may provide your contact details to a third party mailing list for the purpose of managing recipients of newsletters, eg MailChimp.

Images that are not part of a file on someone (amongst other things) do not seem to be covered by GDPR, but here is what happens. We – and our customers – occasionally take photographs of what goes on in The Library Pot. We display some of these photographs on Facebook, Google, a slide show inside our premises, and sometimes on the gallery on our website. Photographs belong to the copyright holder, usually the photographer. If we are the copyright holder for any photograph in which you appear, then you may ask us to restrict where such photographs are visible. If you ask us not to include you in a photo we will certainly oblige.

As a condition of our Premises Licence we are obliged to record CCTV images. We keep these data for 30 days and will provide it to the police or other authorised bodies on request or in order to report a crime.

We do not sell, trade, or rent information about you to others. We may use third party service providers to help us operate our business and the Site or administer activities on our behalf, such as sending out newsletters or surveys. We may share your information with these third parties for those limited purposes provided that you have given us your permission.

This Privacy Notice is available to everyone. By using this site and visiting The Library Pot, you signify your acceptance of this policy. If you do not agree with this policy, please do not use this site or visit The Library Pot.
